Biotech Breakroom Privacy Policy

This Privacy Policy explains how information may be collected, used, stored, and shared when participants use the Biotech Breakroom simulation app, related pilot forms, reports, workshop activities, and support tools.

Biotech Breakroom is an educational biotech business simulation and professional-development workshop. It is not a healthcare service, medical device, financial service, or employment screening tool.

Effective date: July 23, 2026. This policy is written for the limited Biotech Breakroom pilot and may be updated as pilot features evolve.

1. Information We May Collect

The information collected depends on how a participant accesses the pilot and which optional features they use.

Participant and access information

  • Name, email address, institution, program, or cohort information submitted through pilot forms.
  • License code, cohort identifier, activation status, and related access records.
  • Information needed to match a simulation run or report to the correct participant and cohort.

Simulation and completion information

  • Gameplay progress, in-game decisions, run outcomes, day count, and completion status.
  • Generated reports, final run submissions, reflection responses, and pilot feedback.
  • Certificate information such as participant name, cohort, completion date, and certificate ID.

Technical and support information

  • App version, build number, device type, operating system, and basic diagnostic information.
  • Crash details, bug reports, error descriptions, and screenshots or images a user chooses to submit.
  • Network or submission status needed to troubleshoot activation, saving, loading, or report delivery.

Optional camera access: The app may request camera access only when a user initiates a feature that captures an image for support or bug reporting. Camera access is not required for normal gameplay.

2. How Information Is Used

  • Provide and manage pilot access, license activation, and cohort participation.
  • Save and restore simulation progress and support normal app functionality.
  • Generate reports and verify pilot completion requirements.
  • Prepare certificates of completion for eligible participants.
  • Deliver workshop activities, follow-up discussions, final debriefs, and pilot communications.
  • Evaluate and improve the app, tutorial, reports, and workshop format.
  • Investigate crashes, bugs, licensing problems, save/load failures, or other technical issues.
  • Protect the integrity of pilot submissions and prevent unauthorized alteration or misuse.

3. How Information May Be Shared

Biotech Breakroom does not sell participant personal information.

Information may be shared only as reasonably necessary with:

  • Service providers supporting forms, email, cloud storage, app distribution, analytics, reports, or certificate delivery.
  • Pilot organizers, faculty contacts, or institutional partners when needed to administer the assigned cohort or confirm completion.
  • Legal or regulatory authorities when disclosure is required by law or reasonably necessary to protect rights, safety, security, or the integrity of the service.

Cohort-level findings may be discussed in aggregated or de-identified form. Individual simulation performance will not be publicly disclosed without permission.

4. Third-Party Services

The pilot may rely on third-party services for app distribution, forms, email, cloud processing, document generation, or certificate delivery. These services process information under their own terms and privacy practices.

Examples may include Apple TestFlight or the App Store, Google Play, Google Forms or related Google services, and certificate or document-delivery platforms used for the pilot.

5. Data Retention and Security

Pilot information is retained only as long as reasonably necessary to administer the pilot, troubleshoot technical problems, generate reports and certificates, evaluate the program, maintain appropriate records, or meet legal obligations.

Reasonable administrative and technical safeguards are used to protect information. However, no internet transmission, mobile application, or storage system can be guaranteed to be completely secure.

Participants should not submit confidential laboratory data, unpublished scientific information, protected health information, trade secrets, financial account details, or other sensitive information through the app, pilot forms, reflections, or bug-report tools.

6. Participant Choices and Requests

Participants may contact Biotech Breakroom to request access to, correction of, or deletion of participant information, subject to technical, legal, security, and legitimate recordkeeping limitations.

A request may require reasonable identity verification before information is disclosed, corrected, or deleted.

7. Children’s Privacy

Biotech Breakroom is designed for adult university students, graduate trainees, postdoctoral researchers, scientists, and professional-development participants. It is not directed to children under 13.

8. Changes to This Policy

This Privacy Policy may be updated as the pilot changes, new features are introduced, or data practices are refined. The effective date at the top of this page will be updated when material changes are made.
